Step 1: decide the one place that holds the true stock count
The first job is not choosing a tool but deciding where the true stock count lives. If you sell through several online shops or a physical counter and each screen holds its own number, the counts drift apart right after a sale. Keep selling on drifted numbers and you end up apologizing for orders on items you do not have. Orders work the same way: if they are scattered across email, marketplace dashboards and phone calls, start by collecting them into one list.
Our view The smaller the company, the more it should settle who updates which number and when, before any system. A way of counting stock that exists only in one person's head stops when that person is away. The more channels you add, the more hand-checking costs, and overselling starts once checking falls behind. The price of waiting is apology work and the effect on your rating on the marketplaces. Drifts also grow when orders grow, so tidying things before a busy season avoids confusion on the day itself.
Step 2: know what a unified management tool covers
Tools that handle orders and stock together already exist. For example, Next Engine describes itself on its official site as an EC unified management tool that manages order handling, stock and product registration across more than 50 marketplaces and carts (official site). Shopify's help center says tracking stock requires at least one location, and that stock across multiple locations and apps can be managed (Shopify Help). Prices depend on the plan, so we give none here. When comparing, check on the official pages and in a quote whether your sales channels are supported and whether stock counts are pushed to each channel automatically.
Our view Even with a tool, products cannot be matched if names and item codes differ from channel to channel. Expect to spend effort tidying product data before rollout. If you leave that for later, you pay for the tool and still do the matching by hand. We would check this with a small sample of items from each channel before signing anything, because a mismatch found after a contract is much harder to undo.
Step 3: a small order of work
Working in this order lets you test the situation without a large spend.
- Give every product the same item code on every channel.
- Decide where the true count lives, and who updates it and when.
- For one week, line up stock and price per channel and record how many items drift and why.
- If drifts are frequent or checking eats time every day, request quotes for a unified tool.
Matching stock and price per channel is something we take on in our EC and social media operations service. We send a list each morning showing only the items whose numbers do not match across channels. Which items to list and when remains your decision. The EC basic set is 9,800 JPY a month (including stock matching across three channels), with 0 JPY setup and a free first month. Details are on the pricing page.
Our view Whether you need a unified tool can be decided from one week of records after tidying the process. If drifts stay at a handful, a change in routine may be enough before buying a tool. If you are chasing checks every day, it is time to request quotes. Three notes are enough for the record: how many items drifted, why, and how long checking took, which is enough to compare against any quote you receive.
